What managed means

A follow-up process your team doesn't have to build.

We configure the service around your lead sources, service area, questions, and scheduling approach. Automated follow-up gathers the details your team needs and helps qualified inquiries reach scheduling or a handoff. We review setup with you before launch, then operate and monitor the approved process.

  • ResponseAutomated follow-up through your approved response channels
  • QualificationIssue, area, contact details, timing, and business rules
  • Next stepManual Scheduling for team confirmation, or optional Google Calendar when enabled
  • RecordSource, consent, status, messages, and outcome history

Managed means configuration and oversight, not a person answering every inquiry. This is not a live answering service or voice receptionist. Your team keeps control of dispatch and availability, and keeps its CRM. We follow up on leads you already attract; we don't generate leads or run ads. Bookings aren't guaranteed.

Best fit for

Established service businesses with steady inbound demand, especially when the office gets busy, leads arrive after hours, or follow-up is inconsistent. Common examples include:

HVAC/Plumbing/Electrical/Roofing

Not limited to these trades. Run a tree-service or another service business? If inbound inquiries matter to you, we can review the fit around your service area, questions, and scheduling or handoff needs.

Before you hand us a lead

Clear operating boundaries.

Does CallBack Engine answer calls live?

No. The current missed-call workflow begins after a configured phone call reaches a missed outcome. When texting is enabled and approved, a consent-aware SMS can start the follow-up. CallBack Engine is not a live answering service or voice receptionist.

Do we need Google Calendar?

No. Manual Scheduling is a complete production workflow. Google Calendar is optional and can support direct booking after it is connected, configured, and tested.

Which inquiry sources can you work with?

Supported sources include phone calls, website forms, inbound email, referrals, and advertising or external leads. The exact response path depends on the source and the configuration approved during setup.

Does this replace our CRM?

No. CallBack Engine is designed to work alongside your operation. It does not claim universal CRM, phone, advertising, or calendar integrations.

How is this different from an answering service?

An answering service can be valuable when you need someone to answer live. CallBack Engine focuses on the follow-up process: gathering details, qualifying the inquiry, moving it to scheduling or a team handoff, and recording the outcome. It is not a live answering service.
